On site all day.
Less admin after hours.

How Elektro Obermeier is building an AI back office around the way its team already works.

Elektro ObermeierElectrical contractor · Munich area
Rollout started September 2026

The workday didn’t end
when the site closed.

At this family run electrical contractor, the owner spends most of the day on site. One office manager has handled administration for 15 years. Jobs often begin with a phone call, leaving paperwork to build up in the evenings.

Rollout status from the September 2026 project update: email and invoice workflows are live. The remaining agents are in final testing.

What the AI team is built to do

From the first enquiry
to the accountant’s inbox.

Fifteen focused agents support six connected areas. The team interacts through voice notes and simple buttons in a chat app, with no technical knowledge needed.

01

Enquiries & inbox

The inbox is checked every 15 minutes. Messages are sorted, supplier promotions filed, invoices routed and replies drafted.

Keep enquiries moving while the owner is on site.

02

Quotes & materials

Customer specific wholesaler prices, stock and pack sizes feed into quote preparation and material comparisons. Orders are linked to jobs and require owner approval.

Make purchasing decisions with current information.

03

Site records & invoicing

Daily voice notes capture jobs, hours, travel and materials. Missing details are queried, and invoices are prepared from the site diary and price list.

Turn work completed on site into organised billing records.

04

Finance & bookkeeping

Supplier invoice amounts, due dates and discount deadlines are extracted. Reminders and a monthly accountant package bring the paperwork together.

Keep financial admin organised without giving the system bank access.

05

Scheduling & daily planning

Call notes become proposed appointment slots with travel time. A 6:30 am briefing brings together jobs, contacts, approvals and deadlines.

Start the day with a clear view of what needs attention.

06

Operations & project knowledge

A custom dashboard holds project history, customer records, invoices, income and costs, with documents stored in Google Drive.

Find the context behind each job from one place.

Built around the team

Same people.
A simpler way to work.

Customers still use the company’s existing email address. The owner and office manager can run workflows from their phones, while records stay organised in the dashboard and Google Drive.

The system has no bank access. Material orders require the owner’s approval, keeping purchasing decisions with the business.

The rollout

A working foundation.
More workflows coming online.

Emails are going out automatically, and invoices are being created and filed in Drive. The remaining agents are being tested before full rollout. The focus is practical: less repeated administration and better organised information across every job.

Based on the September 2026 project update supplied by Yannick. The listed workflows describe the system’s scope; not every agent was live at the time of that update.
